Terms

WM Life Sciences Week will:

  • Include the details of the Event on the official WM Life Sciences Week website.
  • Promote the event via at least:

       – 1 x LinkedIn post
       – 1 x X post

  • Feature all Events, including yours, in the WM Life Sciences Week email newsletter. (This will be part of a general WM Life Sciences Week email and not specifically about your event, e.g. not a solus).
  • Provide the official Event logo for use in your marketing.
  • Review and approve all promotional materials the Event Host produces to ensure alignment with brand guidelines.
  • Provide the above promotional support; any additional marketing is the responsibility of the Event Host.

Event Host agrees to:

  • Abide to Life Sciences Week’s brand guidelines, visit:  Brand Guidelines
  • Provide the following to Life Sciences Week by 13.8.25:

       – Main Point of contact
       – Organiser’s logo
       – Organiser’s blurb (1-2 sentences)
       – Organiser’s desired landing page for their website
       – Relevant social media accounts and hashtags
       – Name of Event
       – Date of Event within Life Sciences Week (Mon 15th – Fri 19th Sept 25)
       – Timings of Event
       – Location of Event
       – Description of event and any key speakers*
    *additional information may be added at a later date, with reasonable notice.
       – Capacity/maximum number of spaces that can be booked for the event

  • Acknowledge that Life Sciences Week is not responsible for ticket sales. Event Hosts must actively promote their own event through their own means.
  • Cover event-related costs, including venue hire and catering.
  • Source speakers, ensuring:
       – consideration for underrepresented groups*
       – Content is relevant and inclusive
  • Ensure public liability insurance is in place.
  • Accept responsibility for property damage or personal injury related to the event.
  • Use the following on marketing materials;
       – Life Sciences Week logo,
       – @LifeSciencesW (X),
       – Life Sciences Week (LinkedIn),
       – www.wmlifesciencesweek.co.uk and
       – #LSW25
  • Maintain timely communication with Life Sciences Week. Late updates may result in event removal or revised event updates not being added to the website
  • Notify Life Sciences Week of any changes, postponements, or cancellations promptly.
  • Ensure a respectful, inclusive, and professional environment.
  • Comply with GDPR and other applicable data protection laws when managing attendee or partner data.
  • Inform attendees if photos/videos will be used for promotion.

*An underrepresented group refers to a population subset with lower representation than in the general population.

Force Majeure

Neither party shall be held liable for failure or delay due to circumstances beyond reasonable control (e.g. natural disasters, strikes, outages, or restrictions).
